This Privacy Policy explains how FutureApply ("FutureApply," "we," "us," or "our") collects, uses, discloses, stores, and protects personal information when you use our website, applications, software, and related services (collectively, the "Services").

If you use the Services, you acknowledge that your information will be handled as described in this Privacy Policy.

Privacy Notice

This policy covers what FutureApply collects, how the data is used, how it may be shared, and what rights may apply to you depending on your jurisdiction.

Section 1

Scope

This Privacy Policy applies to personal information we collect when you access or use the Services, including when you create an account, upload resumes or other documents, use AI-powered features, connect third-party services, contact support, or otherwise interact with FutureApply.

This Privacy Policy does not apply to third-party services, job boards, employer platforms, payment processors, authentication providers, or websites not controlled by FutureApply. Those third parties maintain their own privacy policies and practices.

Section 2

Information We Collect

We collect information you provide directly, information collected automatically through your use of the Services, and information we receive from integrations or third parties you choose to connect.

A. Information You Provide

We may collect:

  • account information, such as your name, email address, login credentials, authentication identifiers, and settings;
  • profile and career information, such as resumes, CVs, cover letters, work history, education, skills, certifications, salary preferences, work eligibility, target roles, job preferences, and application responses;
  • user content, including prompts, notes, uploaded files, generated documents, and communications you send through the Services;
  • support and communications data, including questions, feedback, survey responses, and correspondence with us; and
  • billing and subscription information, if paid plans are offered, including plan selection and transaction metadata processed through payment providers.

B. Information Collected Automatically

We may automatically collect:

  • device, browser, operating system, app version, and language information;
  • IP address, timestamps, referral data, crash reports, diagnostic logs, and performance metrics;
  • usage data, including page views, clicks, session activity, feature usage, workflow events, and settings selections; and
  • cookie, local storage, and similar technology data used for authentication, preferences, analytics, and security.

For example, we may use analytics and behavior tools such as Microsoft Clarity to better understand how users navigate the Services, interact with pages, and experience product flows.

C. Information from Third Parties

If you choose to connect third-party services, we may receive information from those services, such as:

  • sign-in and authentication data;
  • files and profile information from connected storage or productivity tools; and
  • information from job boards, employer systems, or application platforms as enabled by features you choose to use.

The exact information depends on the third-party service, your settings with that service, and the permissions you grant.

How We Use Information

We use personal information to:

  • provide, operate, maintain, and improve the Services;
  • create and manage user accounts;
  • generate tailored resumes, cover letters, application answers, and other career materials;
  • support job matching, discovery, personalization, workflow automation, and product recommendations;
  • process prompts, resumes, and other inputs through AI and automated systems to provide requested functionality;
  • authenticate users, secure accounts, detect abuse, prevent fraud, and maintain system integrity;
  • provide customer support and communicate with you about service-related matters;
  • administer subscriptions, billing, and account management;
  • analyze usage, reliability, and product performance;
  • comply with applicable law, legal process, and regulatory obligations; and
  • enforce our Terms of Service and protect the rights, safety, and property of FutureApply, our users, and others.

Section 5

AI and Automated Processing

FutureApply may use artificial intelligence, machine learning systems, and automated workflows to provide features within the Services.

This may include processing resumes, profile data, prompts, uploaded files, job preferences, and related content in order to:

  • generate or improve resumes, cover letters, and application responses;
  • tailor documents to job descriptions;
  • improve relevance, matching, and workflow performance;
  • monitor reliability, detect abuse, and support system operations; and
  • maintain and improve product quality.

AI-generated outputs may be inaccurate, incomplete, biased, or unsuitable for a specific purpose. You are responsible for reviewing and validating any output before using or submitting it.

Section 6

How We Share Information

We do not sell personal information.

We may share information in the following circumstances:

A. Service Providers and Subprocessors

We may share information with vendors, processors, and service providers that help us operate the Services, such as:

  • AI and model providers;
  • hosting and cloud infrastructure providers;
  • storage and database providers;
  • authentication providers;
  • analytics, monitoring, and logging providers;
  • customer support providers;
  • payment processors; and
  • security and fraud-prevention vendors.

These parties may access personal information only as reasonably necessary to provide services on our behalf, subject to contractual, technical, and operational safeguards where applicable.

These providers may include analytics tools such as Microsoft Clarity, which may process usage data, device/browser metadata, approximate location inferred from IP, page events, and reconstructed session activity for analytics, diagnostics, and product-improvement purposes.

B. Third-Party Services You Choose

If you enable integrations, account linking, autofill, or application workflows involving third-party services, we may share information as needed to perform the functionality you request.

C. Legal and Safety Reasons

We may disclose information where reasonably necessary to:

  • comply with law, regulation, legal process, or enforceable governmental request;
  • enforce our agreements and policies;
  • investigate, prevent, or address fraud, abuse, security incidents, or technical issues; or
  • protect the rights, property, or safety of FutureApply, users, service providers, or the public.

D. Business Transfers

We may transfer information in connection with a merger, acquisition, financing, restructuring, sale of assets, bankruptcy, or similar corporate transaction, subject to applicable law.

E. Aggregated or De-Identified Data

We may use and disclose aggregated, anonymized, or de-identified information that cannot reasonably identify you for analytics, benchmarking, research, and product improvement.

Section 7

International Data Transfers

FutureApply may process and store personal information in Canada and in other countries where we or our service providers operate.

As a result, your information may be transferred to jurisdictions that have privacy laws different from those in your home country. Where required by applicable law, we use appropriate safeguards for international transfers, which may include contractual protections, organizational measures, technical controls, and reliance on recognized transfer mechanisms.

Section 8

Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Services, maintain account functionality, comply with legal obligations, resolve disputes, enforce agreements, and protect service integrity.

In general:

  • account and profile data may be retained while your account remains active;
  • uploaded files and generated content may be retained until deleted by you or removed under our retention practices;
  • logs, analytics, and security records may be retained for limited periods reasonably necessary for operations, troubleshooting, abuse prevention, and compliance; and
  • certain information may be retained after account closure where required or permitted by law, or where reasonably necessary to protect our legal rights, detect abuse, or maintain backups and system integrity.

If you delete your account, we will delete or anonymize applicable information within a reasonable period, subject to legal, backup, fraud-prevention, and technical limitations.

Section 9

Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

However, no internet-based service or storage system can be guaranteed to be completely secure. Accordingly, we cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of your account credentials and notifying us promptly of any suspected unauthorized use of your account.

Section 10

Cookies and Similar Technologies

We may use cookies, local storage, pixels, SDKs, and similar technologies to:

  • keep users signed in;
  • remember preferences and settings;
  • understand usage and improve product performance;
  • support analytics and diagnostics; and
  • maintain security and prevent abuse.

Some of these technologies may be provided by third parties. For example, Microsoft Clarity may use cookies and similar technologies to help us understand usage patterns through analytics features such as heatmaps, click/scroll interaction analysis, and session replay-style reconstructions of user activity.

Where required by applicable law, we will request consent before using non-essential cookies or similar technologies. You may also control certain technologies through your browser or device settings.

Section 11

Your Privacy Rights

Depending on your jurisdiction, you may have rights regarding your personal information, including the right to:

  • request access to personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of certain personal information;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent;
  • request portability of certain data, where applicable; and
  • opt out of certain uses where required by law.

You may also be able to:

  • update account and profile data in-app;
  • delete uploaded documents and resumes;
  • delete your account through platform settings, where supported; and
  • contact us to submit privacy requests.

We may need to verify your identity before fulfilling a request, and we may deny or limit certain requests as permitted by law.

Section 12

Region-Specific Disclosures

A. Canada

If you are in Canada, you may request access to and correction of personal information we hold about you, subject to applicable law. Canadian privacy law may also require that we make our practices for handling personal information readily available and provide a process for questions and complaints.

B. European Economic Area, Switzerland, and United Kingdom

If you are in the EEA, Switzerland, or the UK, you may have rights under applicable data protection law, including rights of access, rectification, erasure, restriction, objection, and, in some cases, portability. You may also have the right to lodge a complaint with your local supervisory authority.

C. California

If California law applies to your information, you may have rights to know what personal information is collected, to request deletion, to correct certain information, and to opt out of sale or sharing where applicable.

Section 13

Children’s Privacy

The Services are not directed to persons under 18, and we do not knowingly collect personal information from children for independent use of the Services.

If we learn that we collected personal information from a child in a manner not permitted by applicable law, we will take reasonable steps to delete it.

Section 15

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date and may provide additional notice where required by law.

Your continued use of the Services after the effective date of an updated Privacy Policy constitutes your acknowledgment of the revised policy.
